When practices make a new hire, they obviously do it because they perceive a need. But to have a more clear understanding of what your hiring needs are, you need to do some legwork before posting that job description.

How do you determine if there is a need for a new employee? Sometimes it’s easy to see the need – a worker is leaving the practice and must be replaced. But a department or the entire organization might be shifting its goals, precipitating the need for new people. Or you may have decided to reevaluate your personnel in light of how well you are fulfilling the mission of the practice.

Whatever the case, before you hire, you need to know your organization – the jobs of the people in it and how each contributes to the practice’s goals and employees’ roles in the process. Once you know this, you will have a better idea of how a new staff member would fit into this structure, what his or her duties would be.

Some management experts recommend putting together what is called a position profile for the job you are planning to fill. It has similarities to a job description, but is much more detailed. It takes into account not only the requirements of the job itself, but the place and role of the position in the overall organization, and even with patients. In the position profile, you would set forth the overall responsibilities of the job, its purpose, important relationships, and the essential skills and knowledge needed to perform the job.

After you have gone through this process, you will have a better picture of your hiring needs. You will have a better idea if you really do need a new employee, or if the duties can be redistributed to current staff.

It is also important to get feedback from your current employees. Talk to them about their roles and get their opinion about the need for new people. There may be problems in the workflow that you are not aware of. The discussions may also give you a better idea of the atmosphere of a particular department, which could be helpful during the hiring process because it may give you a better idea of what type of person would fit best.
